About this template

What it is for

A toolbox talk is a short, regular conversation with the crew about one safety topic: the hazard of the day, a near miss last week, a change to the site. The talk matters more than the paperwork, but without the paperwork nobody can show it happened or who was there.

This template keeps the record to one page. Topic, presenter and time at the top; the points you covered; what the crew raised; the actions you agreed with an owner and a due date; and an attendance sheet the crew signs as they leave.

What is in the template

  • Talk details: topic, date, time, site, presenter and duration.
  • Space for the points covered and for hazards or issues raised by the crew.
  • An actions table: action, who, by when, done.
  • A twelve-line attendance sheet: name, company, signature.

How to use it well

  • One topic, ten minutes. A talk that covers everything is remembered for nothing.
  • Write down what the crew raised, not just what you said. That column is where the real hazards show up.
  • Close the actions. An action with an owner and a date is a promise; check it at the next talk.

In AREESA

When the paper version stops scaling

In AREESA a toolbox talk is a meeting with an agenda, a QR code for attendance, and a signature from each attendee on their own phone. The meeting cannot close until everyone has signed, and the record, the actions and the attendance sit together for as long as you need them.

Questions

How often should we run toolbox talks?

Weekly is the common rhythm on construction sites, daily on high-risk jobs, and whenever something changes. The template is the same each time; only the topic changes.

What topics work well?

Whatever is in front of the crew: a near miss, the weather, new plant on site, manual handling, working near traffic, the next high-risk task. Pick from what you saw last week.

Does everyone have to sign?

The attendance sheet is the record that the talk reached each person. A signature per attendee is the simplest way to show that, which is why the sheet has one line per name.

Can I keep the completed talks digitally?

Scan or photograph the sheet and file it by date. If you want the attendance signed on phones and stored automatically, that is what the meetings module in AREESA does.
